This privacy policy allows you to see how Birch Holistics uses and protects any information given by you when you visit this website or book with us. Your personal information will always be treated with the highest standards of security and confidentiality and we will never share any information about you with any other company for their own marketing purposes. The changes in Data Protection Legislation that came into force on 25th May 2018 legally oblige me to provide you with the following information, and to ask you to give your consent for me to hold your personal data.

How Do We Collect Information?
When you conduct a transaction on our website, as part of the process, we collect personal information you give us such as your name, address and email address. Your personal information will be used for the specific reasons stated above only.
How Do We Store, Use, Share and Disclose Your Personal Information?
Our company is hosted on the Wix.com platform. Wix.com provides us with the online platform that allows us to sell our products and services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall.
All direct payment gateways offered by Wix.com and used by our company adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers.
If attending an AYM treatment, your initial client form and treatment session records will be stored securely in a locked filing cabinet. These are stored on the premises of Birch Holistics; 101 Woodlands Way, Leeds, LS14 2EY. Appointments for AYM treatments are booked in our electronic calendar/diary with your first name or initials only.
Phone numbers may be stored on our mobile phone under your first name or initials (no surname is used), as are any SMS/WhatsApp messages and record of phone calls. Our phone is code-locked and is kept secure at all times.
Our e-mail correspondence is password-protected, and our e-mail service provider ensures that the e-mails are secure and encrypted. Please refer to https://workspace.google.com/business/ for any further information.
Images and video footage which have been taken with expressed consent of participants will be stored without reference to the individuals featured on a password protected device, in a file which has additional password protection. The device is kept secure at all times.
The insurance provider used by Birch Holistics has a requirement that is to keep client records for 7 years after completing treatment, course, or class attendance. After 7 years from completion of the treatment sessions, course or class attendance, all electronic data will be permanently deleted, and any hard copies shredded and disposed of.
There are a limited number of circumstances in which Birch Holistics may share your personal data and other information with third parties:

If you request and/or give me consent to share your information with another health professional for the purposes of improving your care or treatment.

For these purposes we may contact you via email, telephone, text messages, and postal mail.
