Terms & Conditions

1. Booking, Payment & Cancellation

General

  • All bookings and payments must be completed through our website. Major credit and debit cards are accepted.

  • Full payment and completion of required booking forms are necessary to secure your place.

  • All in-person courses and classes must be booked in advance due to limited availability.

  • Each attending baby must have their own booked place.

 

Baby Massage Courses (In-Person)

  • Cancellations within 21 days of the course start date, or withdrawal during the course, are classed as cancellations and no refund will be given.

  • Cancellations made more than 21 days before the start date will receive a full refund, minus a £10 administrative fee.

  • Missed sessions cannot be refunded, but you will receive a video and handouts covering missed content.

 

Baby Yoga – Pay As You Go (PAYG)

  • Cancellation within 48 hours of the class start time is classed as a cancellation and no refund will be given.

  • An alternative class may be offered, subject to availability.

 

Baby Yoga – Class Passes (Updated)

  • Class Passes are valid only for the specific half term for which they are purchased.

  • Class Passes are non-refundable and non-transferable outside that half term.

  • If you notify Birch Holistics more than 48 hours in advance, you may be able to join an alternative session within the same half term, subject to availability.

  • Cancellations made within 48 hours of the booked session will result in the session being deducted from your pass.

  • Unused sessions do not roll over into future terms.

 

Transfers & Swaps

  • Bookings cannot be transferred to another adult, baby, or future term unless agreed in writing by the instructor.

  • Class swaps between venues or times may be possible, but are not guaranteed.

 

Minimum Numbers (Updated)

  • A minimum of six (6) participants is typically required to run sessions at Wetherby.

  • A minimum of three (3) participants is typically required to run sessions at Headingley.

  • Birch Holistics reserves the right to run any session with fewer participants at our discretion.

  • If a course or class is cancelled due to low numbers, you will be offered a place on a future course or a refund for any affected sessions.

 

Late Arrivals

  • Late arrivals may join the session at the instructor’s discretion.

  • Sessions will end at the scheduled time regardless of late arrival.

 

2. Instructor Illness, Weather & Unforeseen Circumstances

If Birch Holistics Needs to Cancel

Cancellations may occur due to: instructor illness, severe weather, venue issues, safety concerns, or circumstances beyond our control.

If this happens, you will be offered:

 

  1. a rescheduled session,

  2. an online alternative (if suitable), or

  3. a credit/refund for the affected session.

 

Baby massage courses will always be completed in full through rescheduled or pre-recorded video sessions.

 

Adverse Weather

  • If travel or venue access is unsafe, classes may run online or be rescheduled.

  • If an online option is not suitable (e.g., baby yoga), a reschedule or credit/refund will be offered.

  • Updates will be shared via email and social media.

 

Replacement Instructor

Birch Holistics reserves the right to provide a qualified cover instructor when required.

 

3. Missed Sessions (Client Absence)

  • No refunds are offered for missed sessions in any course or class.

  • Baby massage participants will receive a video and handouts for missed content.

  • Yoga PAYG and Class Pass sessions missed due to illness or personal reasons cannot be refunded or transferred unless you meet the required notice period.

 

4. Course & Class Attendance

  • Each baby must have their own booking, including twins or multiples.

  • The same parent/carer should attend each week unless agreed in advance.

  • Sessions are baby-led; feeding, changing, cuddling, and comforting are always welcome.

  • Siblings or additional adults may only attend with prior agreement.

  • Birch Holistics may withdraw provision if a parent/carer behaves unreasonably.

  • Group discussions must remain confidential.

  • Parents must only massage their own baby.

 

5. Health & Safety

  • Please seek medical clearance if your baby has any illness, injury, disability, or special need.

  • Do not attend if you or your baby have had a fever, vomiting, diarrhoea, or contagious symptoms in the last 48 hours.

  • Birch Holistics may refuse entry if health concerns are present.

  • If public health restrictions prevent face-to-face classes, sessions will move online.

 

Allergies & Oils

  • Inform the instructor of allergies or sensitivities.

  • You are responsible for checking the suitability of any oils used in class or at home.

  • Birch Holistics is not responsible for reactions to oils.

 

Home Practice

  • Techniques should be used safely at home. Birch Holistics is not liable for injuries caused by incorrect or unsafe home practice.

 

6. Online Courses & Digital Products

Applies to all paid video courses and downloadable materials.

  • Access duration will be stated at purchase.

  • No refunds are provided once digital content has been accessed or downloaded.

  • Materials are for personal use only and may not be shared, distributed, or copied.

  • Sharing login details is not allowed.

  • Users are responsible for ensuring suitable internet access and device capability.

  • Copyright remains with Birch Holistics.

 

7. Photos, Videos & Mobile Phones

  • You may take photos/videos of your own baby only. Seek permission before including others.

  • Excessive filming may be stopped.

  • Birch Holistics may request consent to capture images/videos for marketing.

  • Mobile phones must be silent during sessions.

 

8. Data Protection & Privacy

  • Birch Holistics handles personal data in line with our Privacy Policy.

  • Data will not be shared without your consent unless legally required.

  • You may request access, amendments, or deletion of your data at any time.

 

9. Community & Social Media Conduct

(Applies to WhatsApp groups, Facebook groups, and online communities.)

  • Participants must behave respectfully and kindly.

  • Sharing screenshots or information outside the group is not permitted.

  • Birch Holistics may remove participants who behave inappropriately.

 

 

Be Held – Event Terms & Conditions

By booking a place at a Be Held event, you agree to the following terms:

1. Booking & Payment

• All bookings must be made in advance through our official booking system.

• Your space is confirmed once full payment has been received.

• Places are limited and allocated on a first come, first served basis.

2. Cancellations & Transfers

• Tickets are non-refundable.

• If you are unable to attend, you may transfer your ticket to another person with prior written notice to us.

• In the unlikely event that we need to cancel or reschedule the event, you will be offered either a transfer to a new date or a full refund.

 

We understand that life with little ones can be unpredictable and will always approach communication with kindness.

3. Venue Access

• Please note that the venue is located upstairs and there is currently no lift access.

• By booking, you confirm that you are comfortable accessing the space via stairs.

• If you have any mobility concerns, please contact us before booking so we can discuss whether the event is suitable for you.

4. Health & Participation

This event includes guided relaxation and gentle self-massage practices.

• All participation is entirely optional.

• You are encouraged to move at your own pace and within your own comfort levels at all times.

• By booking, you confirm that you feel well enough to participate and take responsibility for your own wellbeing during the session.

• If you have any medical conditions, recent injuries, are recently post-surgery, or are unsure whether the session is suitable for you, please seek advice from a healthcare professional before attending.

Be Held events are designed to be nurturing and supportive — not a substitute for medical care or treatment.

5. Personal Responsibility

• You remain responsible for your personal belongings during the event.

• We cannot accept liability for loss, damage, or injury unless caused by proven negligence.

 

6. Photography & Media

• We may take occasional photographs for promotional purposes.

• You will always be asked for consent before any identifiable images are shared publicly.

• If you would prefer not to be photographed, please let us know on arrival.

7. Creating a Safe Space

Be Held is a gentle, supportive space for rest and connection.

We ask all attendees to treat one another with kindness and respect.

 

We reserve the right to refuse attendance if behaviour is deemed disruptive or unsafe.
